Switch the portal on layer by layer
The portal for heirs has layers: timeline, assets, amounts and letters. You switch them on one by one, not as a package on the day the file is opened. A layer goes on when the content has a source. The timeline only once the events match the documents. The assets only once each item has an origin or expressly stands open without an invented amount. The amounts only once the figures are supported. The letters only once the text is no longer a wrong draft. Until then the layer stays off. Heirs see only the layers that are on. What is off does not exist for them in the portal.
Internal notes never come along. A doubt, a quarrel or a figure not yet checked stays in the workspace. Staff see that workspace. Heirs do not. So do not copy a note into the timeline in order to share it anyway. The timeline is not a second drawer for internal text. If you want to share something, it belongs in a layer you switch on deliberately, and only in the form that is right. A balance where a debt is still missing does not belong in the amounts layer. Better that layer off, with a task to request the statement, than a figure the family reads as a final position. Sharing is an act. Saving is not.
When you switch a layer on, note the date and the reason. Which document made the assets shareable. Which source carried the amounts. Which letter is final. A colleague who takes over the file then sees why the layer is on and can switch it off again if the source falls away. Withdrawing is allowed. A layer that was on too early, you switch off until the text or the figure has been put right. Say that to the heir as well if they have already seen the layer: the earlier picture was an interim position and has been withdrawn. Do not leave the old figure standing beside a new figure without an explanation in the layer that stays on. The workspace keeps the internal reason. The portal shows only the layer.
Ervazo shows an heir only the layers the office has switched on and keeps internal notes outside the portal. Ervazo records and calculates as a worksheet. A calculation on that worksheet does not of itself become a shared amount. That is not advice. It files nothing and it pays nothing. The program does not itself switch on timeline, assets, amounts or letters because a document has been uploaded. The staff member chooses the layer. Staff keep seeing the workspace, including what is still open. The worksheet calculates with the entered figures for the office. Publishing is a separate step, and the software does not take that step of itself.
