An internal note stays with the office
An internal note is there for the office. That is where the quarrel, the doubt and the question that is not yet ripe for a letter come. Two heirs who contradict each other about a loan, a suspicion that there is an account abroad, a sentence in a draft that is not yet right. You write that down so that a colleague still understands it tomorrow. You do not write it in order to share it. Internal notes stay inside. They do not follow to the portal, not to the timeline, not to the letters and not to the layer with amounts. Staff see them in the workspace. Heirs see only layers that are on, and a note is not a layer.
Write the note concretely. Who said what, on which day, and which document is still missing. Leave out insults if they add nothing to the facts. A short sentence about the contradiction is enough: sister names a loan, brother disputes it, the deed is missing, the amount stays empty. That tone keeps the note usable if the file is later taken over. An emotional account becomes dangerous the moment someone accidentally pastes it into a letter. That is why the note stays in its place. It is not a draft letter and not an estate inventory item. Do not turn a doubt into an amount. A round figure in a note is just as misleading as a round figure in the estate inventory.
If the doubt becomes a decision, you write the decision in a place the right people may see. The decision can be a task: ask the notary whether this loan is an item. It can be an estate inventory line with an empty amount and a question about the source. It can later be a letter, marked as a draft until it has been sent. The decision does not repeat the quarrel. It names the act and the open question. The note with the sharp words stays internal, even after the decision exists. That way an heir, if the layer is on, reads the decision and not the bickering. Staff keep both apart in the workspace: fact and task on one side, internal context on the other.
Ervazo keeps the internal note in the workspace and does not take it along when a layer of the portal is switched on. Ervazo records and calculates as a worksheet. A note does not count as a debt, as a gift or as a share. That is not advice. It files nothing and it pays nothing. The program does not promote a note to a letter and not to a decision. You do that yourself, in the place that belongs with the decision, and only for the people who may see it. The worksheet calculates with items that have a field, not with a marginal note. The quarrel stays text for the office. It does not become an assessment and not a payout.
